Terms of service

Draft — under attorney review
The text below reflects RoleMap's operational practices and is being reviewed by counsel. Final language may change before public launch.
1. Agreement
These Terms of Service govern your use of RoleMap, a software-as-a-service product operated by Anton Brown (an individual proprietor based in Kingston, Massachusetts) at rolemap.co. By creating an account, purchasing an engagement, or otherwise using RoleMap, you agree to these terms.
If you do not agree to these terms, do not use RoleMap.
For questions about these terms, write to hello@rolemap.co. Routine inquiries are handled by Anton's assistant, Eva. Legal disputes, formal complaints, and corporate-level concerns may be directed to Anton at anton@rolemap.co.
These terms apply to the church or organization that purchases an engagement (the "Client") and to the individual representative who creates the account on the Client's behalf (the "Account Holder"). They do not bind individual respondents who participate in a questionnaire — respondent participation is governed by the privacy policy and by the consent statement displayed in the questionnaire invitation.
2. Eligibility
To use RoleMap, you must be at least 18 years old, located in the United States, and authorized to bind the church or organization on whose behalf you are creating the account. By creating an account, you represent that all of these are true.
3. The service
RoleMap is a structured analytical tool. Each engagement consists of:
- A questionnaire completed by the role-holders identified by the Client
- A heat-map visualization and aggregate analysis derived from the responses
- A written narrative report identifying structural patterns, perception asymmetries, consolidation candidates, and recommendations
- Optional supporting analysis where the Client provides bylaws and an organizational chart
Two tiers are available: Tier 1 (Analyzed), which is self-service from purchase through report delivery, and Tier 2 (Full Consultation), which begins with a scheduled discovery call and includes an in-depth presentation of findings to the Client's leadership team.
How RoleMap produces its reports. RoleMap uses an AI-assisted analytical engine — specifically, a large language model from Anthropic (Claude) — to convert your role-pair data, asymmetry findings, and supporting documents into a structured narrative draft. Anton Brown, RoleMap's principal analyst, then reviews and edits every draft before it is delivered to the Client. The human review is a deliberate and load-bearing part of what RoleMap provides: it ensures pastoral sensitivity, accuracy, appropriate framing, and contextual judgment that an AI alone cannot reliably produce. The combination of AI assistance and human curation is how RoleMap can deliver in-depth narrative analysis at accessible pricing while preserving the kind of attention each engagement deserves.
4. Your account
You are responsible for maintaining the confidentiality of your account and for all activity that occurs under it. RoleMap uses email-based magic-link authentication rather than passwords, which means access to your registered email address grants access to your account. Protect your email accordingly.
If you suspect your account has been accessed without your authorization, notify us immediately at hello@rolemap.co. For matters involving suspected fraudulent purchase or significant security concern, you may also write directly to anton@rolemap.co.
5. Acceptable use
You agree not to:
- Use RoleMap for any purpose other than the legitimate analysis of your own organization's structural relationships
- Share access credentials with parties outside the leadership of your organization
- Use respondent data, comments, or reports for purposes the respondents would not reasonably expect (such as performance evaluation, discipline, or employment decisions)
- Attempt to access another organization's data
- Reverse-engineer, decompile, or otherwise attempt to derive the source code or algorithms of the RoleMap service
- Use RoleMap in violation of any applicable law, regulation, or third-party right
6. Payment
Engagements are purchased in advance via Stripe. Pricing is published on rolemap.co and reflects the size band of your organization. Sales tax is added where applicable.
A purchase confirms your engagement and unlocks the engagement-setup workflow. You may begin the analytical process immediately after purchase (Tier 1) or after a scheduled discovery call (Tier 2).
All amounts are in U.S. dollars. Payment processing is handled by Stripe under their terms; we do not store full payment information.
7. Refunds
Refunds are governed by our Refund Policy. In summary:
- Full refund within seven days of purchase if no questionnaire invitations have been sent
- 50% refund if invitations have been sent but the report has not been delivered
- No refund after report delivery
To request a refund, write to hello@rolemap.co. Eva will confirm and process refund requests, escalating to Anton when warranted.
8. Confidentiality
Anton Brown is bound by confidentiality regarding the contents of any engagement. He will not share specific findings, role assessments, individual responses, or commentary from any engagement with anyone outside the Client's authorized leadership team without the Client's express written consent.
The Client is responsible for the confidentiality of the report once delivered. We strongly recommend that reports be treated as confidential leadership-team materials and not distributed beyond the leadership.
Anonymized aggregate patterns from across many engagements (for example, "in churches under 100 members, the office manager is typically a high-centrality role") may be referenced in our methodology documentation, marketing copy, or future products. Such references will never identify any specific Client, role, or individual.
9. Intellectual property
RoleMap retains all rights to its software, methodology, analytical algorithms, prompt design, report templates, brand assets, and other proprietary materials. You receive no rights to these materials except a limited license to use the RoleMap service and to use the report you receive for your own organizational planning purposes.
You retain all rights to your own data — your role definitions, respondent information, questionnaire responses, comments, and uploaded documents. You also retain a perpetual right to your delivered report and may distribute it within your organization without restriction.
The report itself is the result of analysis performed using your data. You may reproduce, share within your organization, and reference the report in your strategic-planning materials. Reproduction outside your organization (for example, public posting) is permitted but please attribute the analysis to RoleMap.
10. Disclaimers
RoleMap provides structural analysis, not professional consulting, legal advice, financial advice, or organizational psychology services. Findings and recommendations are intended as conversation starters and analytical observations for your leadership team to consider, not as directives or professional guidance. Consult appropriate professionals (attorneys, accountants, organizational consultants, denominational authorities) for matters requiring such expertise.
The analytical engine relies on the responses provided by your role-holders and on the supporting documents you upload. Quality of analysis depends on quality of input. Partial responses or absent supporting documents will yield correspondingly partial analysis, which we will note in the delivered report.
To the maximum extent permitted by law, RoleMap is provided "as is" without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement.
11. Limitation of liability
To the maximum extent permitted by law, RoleMap's total liability arising from or related to your use of the service shall not exceed the amount you paid for the engagement giving rise to the claim.
In no event shall RoleMap be liable for indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, business opportunities, goodwill, or organizational impact, regardless of the legal theory under which the claim is brought.
12. Indemnification
You agree to indemnify and hold harmless RoleMap, Anton Brown, and our service providers from any third-party claim, demand, or proceeding arising from your use of RoleMap, your data, your distribution of any delivered report, or your violation of these terms.
13. Termination
You may terminate your account at any time by writing to hello@rolemap.co. Eva handles routine termination requests. Termination does not refund prior payments except as provided in the Refund Policy.
We may suspend or terminate your account if you violate these terms, fail to pay, or use RoleMap in a manner that risks harm to other users or to the integrity of the service. We will provide notice and an opportunity to cure where reasonably possible.
Upon termination, your account access ends. Your data is handled according to the retention schedule in our privacy policy.
14. Changes to these terms
We may update these terms from time to time. Material changes will be communicated by email to active Clients and posted at rolemap.co/terms. Continued use of RoleMap after notice of change constitutes acceptance of the revised terms.
15. Governing law and disputes
These terms are governed by the laws of the Commonwealth of Massachusetts, without regard to its conflict-of-laws principles. Any dispute arising from or related to these terms or your use of RoleMap shall be resolved in the state or federal courts located in Plymouth County, Massachusetts, and you consent to the exclusive jurisdiction of those courts.
We will attempt to resolve any dispute in good faith through direct communication before any formal legal proceeding. For dispute matters, write directly to anton@rolemap.co — these matters are handled personally by Anton rather than through routine support, and we will respond within two business days.
16. Severability
If any provision of these terms is found to be unenforceable, the remaining provisions remain in full effect.
17. Entire agreement
These terms, together with our Privacy Policy and Refund Policy, constitute the entire agreement between you and RoleMap regarding your use of the service and supersede any prior agreements or communications.
